ClickUp review β maximalist customisation, AI sold separately
The short version. ClickUp is the most customisable platform in our 2026 ranking β to the point that "customisable" stops being a compliment somewhere deep into the setup phase. If you have a power user willing to invest a weekend in configuration, the result is excellent. If you don't, you'll be paying for capability you never reach. AI (ClickUp Brain) is a paid addon, sluggishness on large workspaces is a recurring theme in public user reviews, and EU hosting is not available on the standard tiers.
Where it wins
- Configuration depth. Spaces β Folders β Lists β Tasks, plus custom statuses, custom fields, custom views, custom relationships, custom automations. Nothing in our ranking goes deeper.
- Multiple views per list (List, Board, Calendar, Gantt, Timeline, Workload, Mind Map). Each user can pick their preferred view of the same data.
- One-app-replaces-all framing actually closer to true than competitors β Docs, Whiteboards, Goals, Time Tracking and Chat are all included. They're not best-in-class but they're functional.
- Free tier is genuinely useful. Unlimited users, unlimited tasks (with item caps). Many small teams stay on free for a year.
- ClickUp Brain (the AI layer) is competent β task generation, document drafting, summaries, automations. Quality is comparable to monday AI and Notion AI.
Where it doesn't
- Brain is a β¬7/user/mo addon on top of the per-seat subscription. The marketing pages do not make this obvious.
- Performance on very large workspaces is a recurring complaint in public user reviews, particularly on board loads with tens of thousands of items.
- Learning curve is steep. The Space β Folder β List hierarchy plus custom statuses and views takes real configuration time before the tool becomes useful.
- EU hosting is not available on standard tiers. ClickUp's standard plans are US-hosted; check ClickUp's current trust documentation if data residency matters to you. Schrems II exposure for EU buyers.
- Email-style notification overload by default β most teams spend their first week turning notifications off.
Who should pick ClickUp
Power users and ops leads who enjoy configuration as a craft. Teams replacing 3-4 tools (Asana + Notion + Toggl + Slack) and willing to invest the setup time. Organisations where one or two "ClickUp experts" will own the workspace and the rest of the team consumes it.
Who shouldn't
EU buyers with GDPR posture requirements. Teams without a designated configuration owner. Anyone who wants AI included in the base price rather than as a separate Brain subscription.
