How we compare project management software

Our scoring rubric, the public sources we rely on, how to verify every claim yourself β€” and who publishes this site. Updated July 2026.

Who publishes this site β€” read this first

Workflow Champion is published by the team behind YourPAZ β€” the tool that currently sits at #1 in our ranking. We build YourPAZ and we compare it here with alternatives. That is a conflict of interest, and no scoring rubric makes it disappear. Our answer is not to claim neutrality; it is to make every claim checkable. For each criterion below we name the public sources we use, so you can verify the facts β€” pricing, hosting, AI add-ons β€” without taking our word for anything. The scores themselves are our editorial judgment, and are presented as exactly that.

The scoring rubric

Every tool is scored on a 100-point scale across six weighted criteria. The headline score (e.g. "4.9 / 5") is the 100-point score divided by 20, rounded to one decimal. The score is an editorial judgment with its working shown β€” not the output of a lab test or a user survey.

UX & performance10Learning curve, setup overhead, interface quality, mobile parity. The most subjective criterion in the rubric, and we treat it as such.

The buyer profiles we rank for

The "best" tool depends on the team. When we weigh criteria, we think in terms of four buyer profiles that recur throughout the site:

Profile 1 β€” The solo founder

One person, multiple workspaces (work / personal / side-project), no team to manage. Optimises for: low cost, low overhead, no per-seat minimums, fast capture, AI that drafts so they don't have to. Pain point: tools designed for teams that force them into seat-based pricing or hide AI behind business tiers.

Profile 2 β€” The five-person agency

Founder + 4 staff, client work, deadlines, occasional contractors. Optimises for: client visibility (read-only sharing), time tracking, recurring projects, lightweight CRM. Pain point: tools that look great on the marketing page but require an admin to maintain.

Profile 3 β€” The 25-person mid-market

One operations lead, cross-functional teams, multiple ongoing initiatives, real budget. Optimises for: portfolio visibility, OKR / goal tracking, SSO, integrations with their existing stack (Slack, Google Workspace, Hubspot). Pain point: tools that bill aggressively at the 20-30 user inflection.

Profile 4 β€” The 80-person scale-up

Engineering / product / sales / marketing all using the tool, head of ops owns it, IT has opinions. Optimises for: SSO, SCIM, audit logs, EU data residency, vendor stability. Pain point: tools where Enterprise gates the "compliance" features the buyer actually needs.

For each tool we calculate, from the vendor's public pricing page, the all-in monthly cost at 1, 5, 25, and 80 users, including:

A tool that's €7/user/mo on the marketing page but €25/user/mo with the addons we need to reach baseline scores worse than a tool that's €14/user/mo all-in.

Conflict of interest

We state it plainly rather than bury it in a policy: the team that publishes Workflow Champion is the team that builds YourPAZ, the tool ranked #1 on this site. No vendor β€” including us β€” can buy a position in the ranking, but you should not have to trust that sentence. That is why this page names, per criterion, the public source that backs each factual claim, and why the scores are labelled as our editorial judgment rather than as independent findings. If you find a factual error β€” a stale price, a hosting claim a vendor has since changed β€” email us and we will correct it.

What the scores mean

The headline score is an opinion with its working shown. Two readers applying the same rubric with different weights will get a different order, and that's fine β€” the rubric exists so you can see exactly where our ranking comes from and where you'd diverge. What the score is not: the output of a testing lab, a reviewer panel, or a user survey.

Refresh cadence

The headline ranking is reviewed every six months (May and November). Individual tool pages are refreshed when a vendor ships a major feature or pricing change. Each page carries a "Last updated" timestamp.
